Hotel guest platforms with PMS integration compared: What matters for the integration

The property management system is the backbone of every hotel. It holds reservations, rooms, rates and billing. Around the PMS, hotels increasingly rely on guest platforms that cover digital check-in, room access, guest communication and extra services.
How well such a platform works day to day, however, depends less on its feature list than on another question: how closely and how reliably is it connected to the PMS? Almost every provider advertises a PMS integration, but very different solutions hide behind that word.
In this article, we show you which types of PMS integration exist, which data needs to flow between the systems and what to look for when comparing guest platforms.
A guest platform brings together the processes a guest experiences before, during and after their stay: digital check-in, room access, communication, extra services and check-out. It often also covers background processes such as housekeeping and team tasks. Through the PMS integration, it exchanges data with the property management system so that reservations, room status and payments match in both systems.
The two systems complement each other but have different jobs:
| Area | PMS | Guest platform |
|---|---|---|
| Core task | Managing reservations, rooms, rates and billing | Shaping the guest experience and the processes around the stay |
| Users | Mainly the hotel team | Guests and hotel team |
| Typical functions | Bookings, room plan, rates, invoices, reports | Digital check-in, digital key, guest communication, upselling, housekeeping |
| Role of the data | Leading system for booking and billing data | Uses and enriches this data in direct contact with the guest |
Whether to cover these tasks in one system or in several specialised solutions is discussed in detail in Hotel operations software: single platform vs. best of breed.
Both systems exchange data through an application programming interface, at the moment something changes. This is the current standard for modern guest platforms, but it requires the PMS to offer a capable interface.
Data is matched at fixed intervals, for example every few minutes. That is enough for many processes, but gaps can appear at check-in and room access, for instance when a room is reassigned shortly before arrival.
The guest platform reads data from the PMS but writes nothing back. Captured registration data, payments or booked extra services then have to be transferred manually.
An intermediate layer translates between PMS and guest platform. For older systems without a modern interface, this is often the only way, but it adds another system and another possible source of errors.
| Type of connection | Data flow | Timeliness | Typical risk |
|---|---|---|---|
| Real time via API | Both directions | Immediate | Depends on the quality of the PMS interface |
| Delayed | Mostly both directions | Delayed | Errors with short-notice changes |
| One-way | Only from PMS to platform | Varies | Manual follow-up work for the team |
| Via middleware | Depends on the solution | Depends on the solution | Extra system, more coordination effort |
For the guest journey to work without gaps, at least this data should be synchronised reliably:
Reservations and guest data
New bookings, changes and cancellations must arrive in the guest platform immediately.
Room assignment and room status
Only if both systems have the same state does the guest get the right access and housekeeping the right tasks.
Payments
Amounts paid online must be posted correctly in the PMS so there are no surprises at check-out.
Registration data
Data captured in the digital check-in should land in the PMS without being entered again.
Extra services
Booked services such as breakfast, parking or late check-out belong on the guest's bill.
Check-in and check-out status
It drives follow-up processes such as key release and cleaning.
With digital check-in and digital keys in particular, every minute counts. Ask specifically whether changes are transferred immediately or with a delay. Why this matters so much for room access is explained in Hotel check-in software with digital keys.
A platform that only reads shifts the work onto the team. Make sure registration data, payments and extra services are written back to the PMS automatically.
A long list of connected PMS says little about which functions are actually available with your system. Ask to see which processes work with exactly your PMS, and ask for reference hotels that use the same system.
Besides the PMS, other systems are usually involved, such as locking systems, payment providers or channel managers. Open interfaces let you connect them and add more systems later.
Even good interfaces fail occasionally. What matters is what happens then: is data matched afterwards, does the team get warnings, and does room access keep working? These questions are rarely asked in sales talks, but in daily operations they decide a lot of effort.
When guest data comes from several sources, duplicate profiles appear quickly. A good guest platform helps merge profiles cleanly so that returning guests are recognised and reports are accurate.
Many hotels change their PMS over the years. A guest platform that supports several systems then saves you from rebuilding the entire guest journey. Ideally, guests notice nothing of the change in the background.
Sensitive data flows between PMS and guest platform. Both systems must process it in line with GDPR. Certifications such as ISO/IEC 27001 show that a provider implements information security systematically.
Important: “Integration” does not mean the same thing with every provider. In daily operations, a real-time connection in both directions and a one-way sync every few minutes are worlds apart. So do not just get confirmation that your PMS is connected; ask to be shown which data flows in which direction and how fast.
How well an integration can work also depends on the PMS. Cloud-based PMS with open interfaces can usually be connected faster and more deeply than older, locally installed systems. If you are considering a PMS change anyway, treat the openness of its interfaces as a selection criterion of its own.
As a platform for guest experience and operations, LIKE MAGIC is designed from the ground up to work closely with the PMS:
Integration with leading PMS
LIKE MAGIC is integrated with apaleo and OPERA Cloud, OPERA Cloud via the Oracle Hospitality Integration Platform (OHIP).
Open API
Further systems such as locking systems or payment providers can be connected via open interfaces.
One data basis for guests and team
Digital check-in, digital key, guest communication, extra services as well as housekeeping and task management all use the same data.
Browser-based guest journey
Guests use check-in and key via a link in the browser, with no app download.
Security
LIKE MAGIC AG is ISO/IEC 27001 certified by Sensiba.
How the rollout works and what matters along the way is described in The perfect onboarding.
Here, a real-time integration via API can usually be set up quickly. The focus is on automating as many processes around check-in, access and communication as possible.
Groups that use different systems at different locations, for example apaleo in newer properties and OPERA Cloud in larger hotels, need a guest platform that supports several PMS and still offers guests the same guest journey everywhere.
If you are planning a change, choose the guest platform so that it is compatible with the new system. This keeps the guest journey stable while the PMS changes in the background.
In operations with few staff on site, a real-time connection is especially important because nobody catches errors at the front desk. More on this in Digital hotel platforms for serviced apartments.
If the PMS does not offer a modern interface, a connection via middleware can be an interim solution. In the long run, it often pays to look at a more open system.
| Criterion | The question to ask |
|---|---|
| Timeliness | Are changes transferred in real time or with a delay? |
| Direction | Does the platform write registration data, payments and extra services back to the PMS? |
| Depth | Which functions are available with exactly my PMS? |
| References | Are there hotels using the platform with my PMS? |
| Outages | What happens if the interface fails briefly? |
| Other systems | Can locking systems and payment providers be connected via open interfaces? |
| PMS change | Which other PMS are supported in case I switch later? |
| Security | Is processing GDPR-compliant, and is the provider certified? |
When comparing guest platforms, it pays to look behind the feature list. What matters is how fast, in which direction and how reliably data flows between PMS and platform. Only then do digital check-in, room access, extra services and housekeeping work without manual follow-up.
Hotels that insist on a real-time connection in both directions and open interfaces create a stable foundation for their guest journey, today and after a later PMS change.
A PMS integration connects a hotel's property management system with other systems, for example a guest platform. Data such as reservations, room status and payments is exchanged via the interface.
Because processes such as digital check-in and room access depend on current data. If a room is reassigned shortly before arrival, this must affect the key immediately. With delayed synchronisation, errors occur here.
Data flows in both directions: the guest platform reads reservations from the PMS and writes back registration data, payments and extra services, for example. This removes manual transfers.
Yes, if the platform also supports the new PMS. That is why it pays to check which systems a provider works with when choosing.
Often yes, but sometimes only via middleware or with a limited range of functions. Modern, cloud-based PMS with open interfaces can usually be connected more deeply.
Typically reservations, guest data, room assignment and room status, payments, registration data, extra services and the check-in and check-out status.
That depends on the provider. Good solutions match data automatically after an outage, inform the team and make sure guests still have access to their rooms.
LIKE MAGIC is integrated with apaleo and OPERA Cloud. The connection to OPERA Cloud runs via the Oracle Hospitality Integration Platform (OHIP). Further systems can also be connected via open interfaces.
Personal data flows between PMS and guest platform. Both systems should process it in line with GDPR, and certifications such as ISO/IEC 27001 provide additional assurance.
