Hotel check-in software with digital keys: What matters when choosing one

Check-in is the first personal contact between hotel and guest, and at the same time one of the most demanding processes at the front office. Capturing registration data, settling payment, encoding keys: what used to happen at the desk, guests now increasingly handle themselves, conveniently from their smartphone.
For this to really work, a digital form alone is not enough. Only when the digital check-in leads straight to the digital room key does the trip to reception disappear completely. Accordingly, the number of solutions that combine both is growing, and the choice is getting harder to keep track of.
In this article, we show you which types of digital hotel keys exist, how the different approaches compare and what to look for when choosing check-in software with a digital key.
Hotel check-in software lets guests complete check-in themselves, before arrival or on site. This includes booking confirmation, capturing registration data, payment and often booking extra services. If a digital key is integrated, the guest automatically receives access to their room once check-in is complete, for example by smartphone, PIN code or a key card from a kiosk.
Check-in and room access depend closely on each other. A key should only be issued once all requirements are met. This is exactly where a connected solution pays off:
Access only after a complete check-in
The key is released as soon as registration data is captured and payment is complete. Without connected systems, someone has to check this manually.
No waiting on arrival
Guests go straight to their room, even late at night or at the weekend.
Less work at the front office
Encoding key cards, replacing lost cards and answering access questions largely disappear.
Automatic validity
The key is valid for exactly the booked period and the assigned room, and expires automatically at check-out.
How a property runs without a staffed reception at all is described in detail in Running a receptionless hotel in 2026.
The guest opens the room door with their smartphone, depending on provider and locking system via an app or directly in the browser via a web app. For guests this is a particularly convenient option, but it requires compatible locks.
The guest receives a number code to enter at the door lock. PIN codes work independently of the smartphone and are especially useful as a fallback if the network goes down or the battery is empty.
With this option, the room key is stored directly in Apple Wallet or Google Wallet, without an extra app. The guest simply holds their smartphone to the lock. The key works offline via NFC and is protected by Face ID, Touch ID and the device encryption. A compatible locking system is required.
For properties with an existing card system, or guests who prefer a physical card, a self-service kiosk on site creates the key card automatically after check-in.
| Technology | Advantages | Limits | Best suited to |
|---|---|---|---|
| Mobile key (smartphone) | Very convenient, no card needed, possible as a web app without download | Requires compatible locks, depends on battery | City hotels, serviced apartments, tech-savvy guests |
| PIN code | Works without a smartphone, easy to understand | Locks with a keypad needed | Apartments, fallback for all properties |
| Wallet key (NFC) | No app, works offline, protected by Face ID and Touch ID | Only available with compatible locking systems | Properties with modern, compatible systems |
| Key card from the kiosk | Keeps using existing card systems | Kiosk on site needed | Hotels with existing card infrastructure |

Beyond the technology, the main difference is how check-in and key work together:
Check-in software without its own key function
The digital check-in runs separately, and the key is still issued at reception or through a second system. The trip to the desk remains.
Apps from lock manufacturers
They provide the digital key but usually do not cover check-in, registration data and payment. Guests then use two separate applications.
Integrated platforms
Check-in, payment and key run in one flow. The key is released automatically as soon as check-in is complete.
Why a shared data basis is the better choice in many cases is described in Hotel operations software: single platform vs. best of breed.
The most important question first: which locking systems are connected? If you already have locks in place, check whether the software works with your existing system before thinking about replacing it.
The key should be available automatically and only once registration data is captured and payment is complete. Manual releases are a source of errors and cost time, especially at off-peak hours.
Room changes, extensions or cancellations must affect the key immediately. This only works if check-in software and PMS are synchronised in real time. Open interfaces also let you connect further systems.
A network outage, an empty battery or a technical problem must not leave a guest standing in front of a locked door. An offline PIN or a kiosk on site makes sure access still works.
Digital keys should only be valid for the booked period and expire automatically at check-out. Guest data must be processed in line with GDPR, and the check-in should cover the applicable registration requirements. Certifications such as ISO/IEC 27001 also show that a provider implements information security systematically.
The fewer steps between booking and room door, the more guests use the digital route. Make sure check-in and key run in one continuous flow, appear in your property's design and ideally work in the browser without an app download. You can read what guests expect from digital check-in in our article on digital check-in.
Important: A digital key is only as good as the process behind it. If check-in is not fully digital, the PMS connection is delayed or there is no fallback, the guest ends up back at reception or in front of a locked door after all. When self-service in hotels really works is shown in Self-service in hotels.
With LIKE MAGIC, digital check-in and room access run in one shared guest journey:
Digital pre-check-in
Guests capture registration data, pay and book extra services before arrival, in your property's design.
Browser-based guest journey
Guests open check-in and key via a link in the browser, with no app download.
Digital key in the web app
Depending on the locking system, guests automatically receive a digital key or PIN code after check-in, for example with Salto KS. Integrations include Salto, Assa Abloy, dormakaba and Glutz.
Wallet Keys
With compatible locking systems such as dormakaba, the room key goes straight into Apple Wallet or Google Wallet, works offline via NFC and is protected by Face ID and Touch ID.
Offline PIN as fallback
Access works even without a network connection.
Self-service kiosk
For guests who want to check in on site, including key card creation. This also lets you connect locking systems that only support key cards.
Real-time connection and open API
LIKE MAGIC works in real time with PMS such as apaleo and connects to further systems.
Security
LIKE MAGIC AG is ISO/IEC 27001 certified by Sensiba.
This way, check-in is not an extra step but the direct route to the room.
Late arrivals and guests who want to get to their room quickly make mobile keys and a fully digital check-in especially attractive. A kiosk complements the offer for guests who do not use their smartphone.
Here, digital access is often a prerequisite for operations. PIN codes as a fallback and access to several doors are important. More on this in Digital hotel platforms for serviced apartments.
Small teams benefit from relief at off-peak hours. What matters is that check-in and key carry the character of the property. What counts when choosing a platform is covered in Hotel platforms for boutique hotels compared.
If you have only just invested in locks, you do not have to replace everything. A kiosk that creates cards after the digital check-in is often the pragmatic first step.
With several properties using different locking systems, you need a solution that can connect several systems and still offers guests the same flow everywhere.
| Criterion | The question to ask |
|---|---|
| Locking system | Is my existing locking system connected? |
| Key types | Which options are supported, such as smartphone, PIN code or key card? |
| Release | Is the key released automatically, and only after complete check-in and payment? |
| PMS | Do room changes and extensions affect the key in real time? |
| Fallback | What happens if the network goes down or the battery is empty? |
| Security | Does the key expire automatically at check-out, and is the provider certified? |
| Registration | Does the digital check-in cover all mandatory fields in my country? |
| Guest experience | Do check-in and key run in one flow, in my property's design? |
Digital check-in only delivers its full value when it leads straight to the digital key. When choosing software, do not just look at the check-in form, but at how reliably the route from check-in to room door works: with a suitable locking system, a real-time PMS connection, a reliable fallback and high security.
Integrated platforms that connect check-in, payment and access in one flow take the most load off the team and create an arrival where guests do not have to wait.
A digital hotel key replaces the classic key card. Guests open their room door, for example, by smartphone, PIN code or with a key in their digital wallet. Access is only valid for the booked period.
Before arrival, the guest enters their registration data, confirms the booking and pays. As soon as check-in is complete, the digital key is released automatically, and the guest can go straight to their room.
Yes, if they are valid for a limited time, expire automatically at check-out and are issued via a secure platform. Unlike a lost key card, a digital key can be blocked at any time.
Not necessarily. Many solutions work with existing locking systems. If you use a card system, key cards can also be created by a kiosk after the digital check-in.
Good solutions offer a fallback, for example an offline PIN that works without a network connection, or a kiosk on site that creates key cards. Wallet Keys work offline via NFC anyway.
That depends on the solution. Not with LIKE MAGIC: guests open the guest journey via a link in the browser and receive their digital key there too. Wallet Keys go straight into Apple Wallet or Google Wallet, also without an extra app.
Registration data is captured directly in the digital check-in. It is important that the software covers all mandatory fields of the respective country, as the rules differ between Germany, Austria and Switzerland.
Almost all properties with late arrivals, small teams or unstaffed off-peak hours, especially city hotels, serviced apartments, boutique hotels and groups with several locations.
Very important. Only with a real-time connection do room changes, extensions or cancellations affect the key immediately. Otherwise errors occur exactly on arrival.
