Digital hotel platforms for serviced apartments: What operators should look for

Serviced apartments combine the independence of your own flat with the services of a hotel. Business travellers, project teams, families in transition and guests living in a city for a few weeks value exactly this combination. The segment is growing accordingly, and with it the number of operators running several properties and locations.
In day-to-day operations, however, serviced apartments differ clearly from the classic hotel. Guests stay longer, on-site teams are small or not permanently present, and units are often spread across several buildings. Software built for classic hotels therefore only partly fits this operating model.
In this article, we show you what serviced apartments need from a digital platform, which criteria matter when choosing one and which solution suits which operator.
Serviced apartments follow their own rules. The most important differences at a glance:
Longer stays
Instead of two or three nights, guests often stay several weeks or months. Communication, cleaning and services have to work for the entire stay, not just on arrival and departure.
Few staff on site
Many properties operate without a permanently staffed reception. The team looks after several locations and is only on site when needed.
Distributed units
Apartments are often located in different buildings or districts. Access, cleaning and maintenance still have to be organised centrally.
Independent guests
Guests want to be independent, cook for themselves and arrive at any time. They expect little contact, but quick help when something does not work.
Mixed guest groups
Alongside private guests, companies often book for their employees. This brings its own requirements for communication and organisation.
A digital hotel platform brings together the processes around guest experience and operations in one system. These include, for example, digital check-in, room or apartment access, guest communication, extra services, housekeeping and task management. It works closely with the property management system (PMS), which manages reservations, units and billing. For serviced apartments, it is often the key tool that makes operating with few staff on site possible in the first place.
Guests in serviced apartments often arrive late or outside usual hours. A digital pre-check-in, in which registration data, payment and booking details are completed before arrival, is therefore the basis for every arrival without waiting. What matters most is covered in our article on digital check-in. How to run a property entirely without a reception is shown in Running a receptionless hotel in 2026.
In serviced apartments, guests often need more than one key: front door, apartment, garage or shared spaces. A platform should provide these points of access together and digitally, ideally with a fallback such as an offline PIN in case the network goes down. More on this in our article on smart locks.
During long stays, questions do not only come up on arrival: How does the washing machine work? When is the next cleaning? Can I extend? A shared inbox for email, SMS and WhatsApp means the team sees all enquiries across all locations. Many recurring questions can also be answered automatically, as we show in How 7 out of 10 guest enquiries no longer require staff time.
Unlike in a hotel, an apartment is not cleaned every day during longer stays. Interim cleaning, linen changes or additional services should therefore be easy to plan and easy for guests to book. It is important that bookings arrive directly as a task for housekeeping, without a manual handover.
Parking, laundry service, breakfast package, grocery service, late check-out or extending the stay: serviced apartments have plenty of opportunities for additional revenue. A platform should map your own services flexibly and offer them at the right moment, for example during pre-check-in or during the stay.
Many operators run several properties with small teams. The platform should map processes, communication and tasks centrally across all locations while still allowing each property its own look and its own information.
Reservations, apartment status and payments have to be in sync between the PMS and the platform in real time. Otherwise the guest receives the wrong access or housekeeping cleans the wrong apartment. Open interfaces also make it possible to connect further systems such as locking systems or payment providers.
Serviced apartments are usually subject to the registration requirements for accommodation providers, which differ from country to country. The digital check-in should cover all mandatory fields, and all guest data has to be processed in line with the GDPR.
Most problems are not caused by missing features, but by gaps between systems:
Hotel software without long-stay logic
Solutions that only cover arrival and departure leave guests on their own during the stay.
Separate systems for access, communication and cleaning
Every handover between two tools is a possible source of error, especially without staff on site.
No emergency route
If digital access fails and nobody can be reached, a small technical issue becomes a serious guest problem.
Manual cleaning schedules
Interim cleaning planned in a spreadsheet or by phone works for a few units, but not across several locations.
Too many separate tools
Why a shared data basis is often the better choice is explained in Hotel Operations Software: Single Platform vs. Best-of-Breed.
Important: Independent guests do not want to be left alone. Precisely because there is rarely anyone at the reception in a serviced apartment, every guest has to know at all times how to get help, and the team has to be able to answer enquiries quickly and across all locations. When self-service works and when it does not is covered in Self-service in hotels.
LIKE MAGIC connects guest experience and operations on one shared platform, which makes it particularly suitable for properties with few staff on site:
Digital pre-check-in
Guests enter registration data, pay and book extra services before arrival, in your property's design.
Digital access
Locking systems such as Salto, Assa Abloy, dormakaba and Glutz are integrated, including an offline PIN as a fallback.
Self-service kiosk
For guests who want to check in on site, including key card creation.
One inbox for all channels
Email, SMS and WhatsApp come together in a shared inbox across all locations.
Extra services
Your own services such as parking, cleaning or late check-out can be set up flexibly and offered during the guest journey.
Housekeeping and task management
Cleaning and tasks are triggered automatically, including a mobile app for staff.
Real-time connection and open API
LIKE MAGIC works in real time with PMS such as apaleo and connects to other systems.
This lets operators run several properties with small teams without guests having to do without personal service.
Here, contactless arrival comes first. Digital check-in, digital access and a reliable communication channel make it possible to operate without a permanently staffed reception.
With every location, central management becomes more important. What matters is a shared inbox, consistent processes and housekeeping that can be planned across all locations.
For very long stays and corporate clients, the focus is on communication during the stay, plannable interim cleaning and flexible extra services.
Aparthotels combine apartments with classic hotel services such as breakfast or a reception at core times. A hybrid model works well here: a digital process at off-peak times, personal service at peak times.
| Criterion | The question to ask |
|---|---|
| Arrival | Can guests check in fully digitally before arrival, including registration data and payment? |
| Access | Can several doors, such as the front door and the apartment, be provided digitally, and is there a fallback? |
| Communication | Do all channels come together in one inbox across all locations? |
| Cleaning | Can guests book interim cleaning, and does it arrive automatically with housekeeping? |
| Extra services | Can I set up my own services and offer them during the stay? |
| Locations | Can several properties be managed centrally, with their own look per property? |
| PMS | Is my PMS connected in real time? |
| Data protection | Is guest data processed in line with the GDPR, and does the check-in cover the registration requirements? |
Serviced apartments place different demands on software than classic hotels: longer stays, few staff on site and distributed locations. A digital platform therefore has to cover not just arrival and departure, but the entire stay and the operations behind it.
Operators who connect check-in, access, communication, services and housekeeping on one shared platform create the basis for efficient operations with small teams and a guest experience that still feels personal.
A serviced apartment is a fully equipped flat with hotel-like services such as cleaning, laundry or guest service. It is particularly suitable for longer stays, for example for business travellers or project teams.
Usually a PMS for reservations and billing, plus a digital platform for check-in, access, guest communication, extra services and housekeeping. It is important that both systems work together in real time.
Yes. With digital check-in, digital access and a reliable communication channel, operating without a permanently staffed reception is possible and widespread among serviced apartments.
It has to cover the entire stay, often lasting weeks, for example with communication, bookable interim cleaning and services during the stay. Central management of several locations is also more important than in a classic hotel.
Via digital keys that are ready automatically after check-in. Depending on the locking system, several doors such as the front door and the apartment can be covered. A fallback such as an offline PIN ensures that access also works without a network connection.
Ideally, guests book interim cleaning or linen changes directly via the platform, and the booking automatically lands as a task with housekeeping. This removes manual handovers.
Yes. Small teams in particular benefit when check-in, access and standard enquiries run digitally. The time saved goes into service for guests with genuine requests.
Very important. Digital access and housekeeping only work reliably if reservations, apartment status and payments are in sync in real time.
Guest data should be processed in line with the GDPR, and the digital check-in has to cover the registration requirements that apply in each case. Certifications such as ISO/IEC 27001 also show that a provider implements information security systematically.
LIKE MAGICThe guest experience & operations platform is all about modular and interface-open architecture. Its maximum flexibility allows the smooth integration of top-notch solutions: easy and seamless.
